KennelLog Privacy Policy

This is a practical starting document written in plain English, not a lawyer's advice, dated 4 October 2026.

1. Who holds your information

1.1 KennelLog (www.kennellog.com) is run by Jakob Shanks ("I", "me") from Queensland, Australia.

1.2 I hold the personal information collected through KennelLog. If I later run KennelLog through a company, I will update this policy and tell you.

1.3 I intend to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. What I collect and why

2.1 I only collect what is needed to run the log. That is:

  • account identity: your name, email address and login details, so you can sign in and I can contact you about your account
  • kennel role: whether you are a handler, trainer or kennel master, and which kennel you belong to, so the app shows you the right dogs
  • dog records you enter: the details and training records you choose to put into the log
  • security and invite information: who invited you, invites you send (including the name and email of the person you invite), and the basic technical information needed to keep accounts secure, such as sign-in records

2.2 I do not ask for information I do not need, such as your home address, date of birth or government identifiers.

2.3 Please do not put sensitive information about people (such as health information about yourself or others) into dog records unless it is genuinely needed.

2.4 If you invite someone, make sure they are happy for you to give me their name and email for that purpose.

2.5 There is no card checkout right now, so I do not collect payment card details.

3. How I use it

I use your information to:

  • set up and run your account
  • show your records to you and to the people your role settings allow
  • send invites and account messages
  • keep KennelLog secure and fix problems
  • meet any legal obligations

I do not use it for anything else without telling you first.

4. Who inside a kennel can see your information

4.1 A handler sees only their own dogs.

4.2 A kennel master sees every dog in the kennel, grouped by handler. This means a kennel master can see which dogs are yours and the records attached to them. A kennel master is also a handler with their own dogs.

4.3 A trainer sees the dogs assigned to them, plus their own dogs. A trainer is also a handler.

4.4 A kennel master or a handler can assign a dog to a trainer. Once assigned, the trainer can see that dog's records.

4.5 Kennel masters and trainers must only use what they see for the job. I may limit what they can see of other handlers so that KennelLog follows the Australian Privacy Principles.

5. Who outside the kennel can see it

5.1 I do not sell personal information.

5.2 I do not share it for advertising.

5.3 KennelLog is hosted on Vercel. Vercel stores and processes data so the app can run.

5.4 I may share information if the law requires it, or where it is needed to deal with a serious threat to someone's safety.

6. Overseas hosting

6.1 The live app runs on Vercel in Washington, D.C., United States (region iad1). That is where the site itself is served from.

6.2 Dog and training records are kept in a Neon Postgres database connected through Vercel. I have not yet confirmed which region that database is in. Do not assume it is in Washington, D.C. or in Australia.

6.3 Account sign-in is handled by Clerk. I have not yet confirmed where Clerk stores account details.

6.4 I will update this policy when those two locations are confirmed.

6.5 If you need your information to stay in Australia, please talk to me before entering it.

7. How long I keep it

7.1 I keep your information while your account is active.

7.2 It is your data. If you want it gone, delete your entire account in KennelLog and I will delete it. The only exception is where the law requires me to keep something.

7.3 Keeping unused accounts costs money. If an account has been inactive for 6 months, I will close it and delete the information. It will not be kept.

7.4 Backups may hold copies for a short time after deletion until they are replaced.

7.5 Dog records that belong to a kennel may stay with the kennel after a handler leaves, where the kennel needs them. Your personal details attached to those records will be limited to what is needed.

8. Accessing and correcting your information

8.1 You can see and edit most of your information in the app.

8.2 You can ask me for a copy of the personal information I hold about you, or ask me to correct it, by emailing privacy@kennellog.com.

8.3 I will respond within a reasonable time, usually within 30 days. If I cannot do what you ask, I will tell you why.

8.4 I do not charge for these requests.

9. Security

9.1 I take reasonable steps to protect your information from misuse, loss and unauthorised access. This includes limiting who can see records by role and using a hosting provider with standard security protections.

9.2 No online service is completely secure. I cannot guarantee your information will never be accessed without permission.

9.3 Keep your login details private and tell me if you think your account has been misused.

9.4 If a data breach is likely to cause serious harm to the people affected, I intend to tell those people and the Office of the Australian Information Commissioner (OAIC) as soon as I reasonably can.

10. Children

10.1 KennelLog is for adult handlers, trainers and kennel masters.

10.2 Children must not open accounts.

10.3 If I find that a child has opened an account, I will close it and delete their information.

11. Changes to this policy

11.1 I may update this policy as KennelLog changes or after legal review.

11.2 For important changes, I will tell you in the app or by email before they take effect.

12. Complaints

12.1 If you have a concern about how your information is handled, please contact me first at privacy@kennellog.com. Tell me what happened and what you would like done.

12.2 I will look into it and reply within a reasonable time, usually within 30 days.

12.3 If you are not satisfied with my answer, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
